The Kitchener Hood Cleaning Terms of Service are the conditions that apply to every exhaust cleaning visit booked in Kitchener, Waterloo, Elmira, St. Jacobs, New Hamburg or Baden. They explain what a written quote includes, what the signed certificate records and what it does not, what your kitchen prepares before the crew arrives, how roof access, payment and cancellation work, and where responsibility stops. Your written quote is the agreement for your kitchen. Where the quote and this page differ, the quote applies. Ontario law governs. Last updated: September 2026.

What a written quote covers

Scope by name. Each quote lists the hoods, filters, plenum, duct sections and exhaust fan to be cleaned. Anything that needs its own approval, such as a hinge kit, an added access panel or a fan repair, appears as a separate line.

Turnaround. You receive the written quote within 24 hours of your request, or of the free walk-through when a larger system needs one.

Starting prices. From $585 per visit for a single-hood kitchen up to ten feet, and from $995 per visit for a multi-hood kitchen. These are starting points, not an offer for your kitchen. Larger, campus and institutional systems are quoted on site after a free walk-through. Fan repair, deep cleaning and food trucks are quoted per job.

How long it holds. The price holds for the period printed on the quote. A new menu, longer hours or added appliances can change the scope, so call before booking if any of those change.

Surprises on the night. If the crew finds a section that is corroded, blocked or unsafe, work on that section stops and you get a call. Nothing is added to the invoice without your approval.

Certificate vs fire inspection: what the certificate asserts

What it records. The signed health and safety certificate lists the surfaces cleaned on a stated date, measured against the published NFPA 96 standard. It notes any section that could not be reached and why, and it comes with before-and-after photographs of every cleaned surface.

What it does not assert. The certificate is not a fire inspection. Inspections belong to the fire service with authority over your property: the Kitchener Fire Department, Waterloo Fire Rescue, the Township of Woolwich Fire Department or the Wilmot Fire Department. It is not a promise that your kitchen will pass an inspection, and it is not a promise that a fire cannot happen. Grease builds again from the next service onward.

No affiliation. Kitchener Hood Cleaning references the published NFPA 96 standard and is not affiliated with NFPA. The certificate describes the work, not the company.

What stays with you. Cleaning at the right interval, keeping records, servicing the fire suppression system and operating safely between visits remain your responsibility. The NFPA 96 guide explains the intervals.

Site access, safety and the roof

Before the crew starts. Proof of WSIB coverage and liability insurance is provided before any work begins. The cooking line is covered and the floor under the hood is protected before degreaser goes on.

What your kitchen provides. Entry at the agreed time, appliances turned off and cool, and food stored away. If the fan is in scope, power to the fan is shut off at its disconnect by you or your electrician.

Roof access. The exhaust fan is cleaned from the roof. You arrange the roof key, ladder or hatch access, and any landlord approval before the visit. If the roof cannot be reached, everything inside is cleaned, the fan is recorded as not reached, and a return visit is booked.

Scheduling. Visits run overnight or between services, so the kitchen stays open during trading hours.

Payment, cancellation, liability and governing law

Payment. The invoice matches the quote, plus any item you approved afterwards. Payment is due on completion unless you agreed other terms in writing before the visit. The certificate and photos are released with the invoice.

Cancellation. Give as much notice as you can if you need to move a visit. Any cancellation charge is the one printed on your quote and nothing more. If the crew has to cancel, the visit is rebooked at no cost to you.

Limitation of liability, in plain words. Existing damage, such as a worn roof membrane or a corroded duct, is photographed before work starts. As far as Ontario law allows, liability for any claim from a visit is limited to the amount invoiced for that visit. There is no liability for lost trade, for the result of an inspection by someone else, or for a condition you knew about and did not mention.

Governing law. These terms and every job under them are governed by the laws of Ontario and the federal laws of Canada that apply in Ontario.

Terms of service: frequently asked questions

Does the certificate mean my kitchen passed a fire inspection?

The certificate is a record of cleaning, not an inspection result. It shows which exhaust surfaces were cleaned on which date against the published NFPA 96 standard. Only your local fire service can inspect and pass a kitchen.

Who arranges roof access?

The kitchen operator arranges roof access, including the key and any landlord approval. If the crew cannot reach the fan, the inside work goes ahead and a return visit is booked for the roof.

When is payment due?

Payment is due when the visit is complete, unless you agreed different terms in writing before the booking.

Can the price change after I accept the quote?

The quoted price covers the listed scope. Extra work found on the night is priced separately and only done with your approval.

What law applies if there is a dispute?

Ontario law and the federal laws of Canada that apply in Ontario. Call first, because most questions are settled on the phone.
