Privacy Policy
The Kitchener Hood Cleaning Privacy Policy is the record of how this site handles personal information under the Personal Information Protection and Electronic Documents Act (PIPEDA), the federal privacy law for Canadian businesses. You share personal details in one place: the quote form. This page names each field it sends, the two services that carry a request to the people who quote your kitchen, the analytics tag and chat window on every page, how long records stay, and how to see, fix or remove yours with one phone call. Last updated: September 2026.
Fields the quote form sends
Fields you fill in. Your name, a phone number, an email address, your business name and a short message about the kitchen. The form appears on the homepage and the contact page, and it asks for nothing else.
Fields the browser adds. The web address and title of the page you sent it from, a label for which of the two forms you used, and a timestamp taken when the page opened. The timestamp lets the system drop submissions made faster than a person can type.
A trap field. One field is hidden from people. Spam scripts fill it in, and any submission with it filled is thrown away.
Details never requested. Payment card numbers, banking details, social insurance numbers, health records or a home address. If a message arrives with any of these, it is removed from the record.
How a request travels, Netlify vs GoHighLevel
Step one: a Netlify serverless function. When you press send, the browser posts the fields to a small program Netlify runs for this domain. It checks the trap field and the timestamp, refuses posts from other sites, and passes a clean request on. It keeps no database.
Step two: the GoHighLevel CRM. The request becomes a contact record in GoHighLevel, a customer relationship system. It is shared with Power Hoods Systems, the crew that carries out the work, so they can prepare your written quote and book the visit.
Purpose limit. Your details are used to answer the request, send a quote within 24 hours, schedule the cleaning and send the certificate afterwards. They are not sold, rented or added to anyone else's mailing list.
Storage outside Canada. Netlify and GoHighLevel may hold data on servers in other countries. PIPEDA permits this when the provider protects the information under contract, and the laws of that country may give its authorities access.
| Information | Netlify function vs GoHighLevel CRM | Kept |
|---|---|---|
| Form fields | Passed through by the function, stored in the CRM | Until you ask for removal, or the enquiry closes |
| Page URL and title | Added by the browser, stored in the CRM | With the contact record |
| Timestamp and trap field | Checked by the function, not stored | Not kept |
| Chat messages | Sent straight to the CRM | With the contact record |
Google tag, chat widget and cookies
The Google tag. Every page loads a Google tag that counts visits and shows which pages lead to calls and quote requests. Google sets cookies to tell one visit from the next and receives your IP address and browser details. The tag does not receive what you type into the form. You can block it with your browser settings or the Google Analytics opt-out add-on.
The chat widget. A GoHighLevel chat window loads after the page has settled. It may store a cookie or local storage entry to keep one conversation open as you move between pages. What you type in chat goes to the same CRM as the form.
Cookies from this site. The site itself sets none. Any cookie you see comes from the Google tag or the chat widget.
Server logs. The host keeps routine logs of IP address, browser, page and time for security. They are not used to build a profile of you.
Retention, security and your rights under PIPEDA
Retention. An enquiry that never turns into a booking is kept only as long as it takes to answer and follow up. For a completed job, the contact details stay with the certificate and photos, because a kitchen may need a copy later for the Kitchener Fire Department, Waterloo Fire Rescue, an insurer or Region of Waterloo Public Health.
Security. Form data travels over an encrypted HTTPS connection. The CRM is reached by password-protected accounts limited to the people who quote and schedule work.
Access. You have the right to see the personal information held about you. Call 226-407-0573 and a copy is provided within the 30 days PIPEDA allows.
Correction. A changed phone number or a misspelled business name is fixed on the call.
Deletion. Contact details are deleted on request. Certificates and photos for completed work are safety records and are kept, and you are told this when you ask.
Complaints. Raise any concern by phone first. You may also contact the Office of the Privacy Commissioner of Canada. This policy is governed by the laws of Ontario and the federal laws of Canada that apply there. The terms of service cover how a job runs.
Privacy: frequently asked questions
Is there an email address for privacy requests?
Kitchener Hood Cleaning takes privacy requests by phone at 226-407-0573. The domain has no email inbox, so a call is the fastest route to access, correction or deletion.
Who can read what I send through the form?
The people who write the quote and book the visit. Netlify runs the function and GoHighLevel hosts the CRM as service providers. No advertiser or data broker receives the record.
Why does the form send the page address?
The page address shows which page led to your request, for example the Waterloo page or the NFPA 96 guide. It helps the crew understand what you were reading before you asked.
Can I use the site without being tracked?
Reading pages shares no name or phone number. The Google tag counts visits anonymously, and browser privacy settings or an ad blocker will stop it. You can call instead of using the form or chat.
What happens to my details if I never book?
An enquiry that does not become a job is kept only long enough to answer and follow up. Call and ask, and it is removed sooner.
